How to Create a Business Invoice

A usable invoice does three things: it identifies both parties unambiguously, it describes what was supplied, and it states exactly how much is due and by when. Everything else is presentation.

Number invoices in a sequence you can defend later. A gap-free series tied to a financial year is far easier to reconcile than ad-hoc references, and it is what auditors and bankers expect to see.

Invoice Calculation Explained

For each line, the gross value is quantity multiplied by rate. The line discount percentage is deducted from that gross value to give the taxable value, and the tax percentage is applied to the taxable value.

The invoice subtotal is the sum of gross line values; total discount and total tax are summed separately so the buyer can see each component. The grand total is subtotal minus discount plus tax.

What a Business Invoice Should Include

The exact statutory requirements depend on your jurisdiction and on whether the supply is domestic or an export. Confirm your local rules with your tax advisor.

Invoice vs Proforma Invoice

A proforma invoice is a commitment to supply at stated terms — it is issued before the supply and is not a demand for payment. Buyers use it to raise purchase orders, arrange finance or open a letter of credit.

A tax invoice is issued on or after supply, creates the receivable, and is the document used for tax reporting. If you issue a proforma first, label it clearly so it is not booked as a payable in error.

Invoice Best Practices

Send the invoice to a named person in the buyer's accounts payable process, not a generic mailbox, and state the payment terms in words as well as a due date. For international payments, include the purpose of remittance and full beneficiary bank details in the notes so the payer's bank does not have to chase you.
